Engagement Process
How Acacia Field Consulting engagements work from first enquiry through on-site visits, reporting, and follow-up support.
Every engagement follows a clear sequence so you know what happens before we set foot in your venue and what you receive when we leave.
Initial conversation
You submit an enquiry or call our Brisbane office. We ask about your venue type, seating capacity, service periods, and the specific pressure point — rising food cost, roster blowouts, inconsistent service, or something else. If we are not the right fit, we say so and may suggest another specialist.
Scoped proposal
Within two business days we send a written proposal outlining scope, on-site dates, deliverables, and fee. You approve and pay a 50% deposit to confirm dates. We request recent P&L summaries, rosters, and menu specs in advance so observation days are productive.
On-site observation
We attend during a representative service period — not a quiet Tuesday if your problem is Friday dinner. Helen or Daniel observes kitchen and floor handoffs, reviews dockets, and speaks briefly with shift leads. We do not disrupt service or critique staff publicly.
Workshop with your team
The second on-site day (for full reviews) is a structured session with owners and key managers. We walk through findings, agree priorities, and draft implementation steps your team can own. Menu costing and roster reviews compress this into a single focused session.
Written report & follow-up
You receive a written report within ten business days of the final on-site visit. A follow-up call two weeks later checks progress and answers questions. Optional quarterly check-ins are available for clients who want ongoing accountability.
What to prepare
- Recent four-week rosters and labour cost summaries
- Current menu with approximate sales mix if known
- POS reports for comps, voids, and average spend
- A list of three things you would fix immediately if you had a spare week
